Case study · St. Xavier High School, Cincinnati

How St. Xavier runs
800+ athletes on Strata.

St. Xavier is a nationally ranked athletic program, and it's my school. I've been the Head Athletic Trainer here for over 20 years. Strata wasn't piloted here as a favor; it was built here, on the sideline, out of the problems this exact program lived with. Here's the honest version of that story.

The problem: everything worked, and nothing connected.

We were not a disorganized program. We had testing numbers, we had injury records, we had strength programming, we had heat protocols. What we didn't have was any of it in the same place. Test scores lived in spreadsheets a few people could open. Injury reports lived in a folder that coaches never saw. Wellness was a gut read in the hallway. And the question I asked myself for two decades: why does the Strength & Conditioning Coach find out about an injury from a kid in the squat rack instead of from the record I wrote yesterday?

The gap was never effort. It was that five systems held five pieces of the same athlete and none of them talked.

The rollout: a roster import and QR posters on the wall.

The whole department went in from a spreadsheet import. Athletes check into the athletic training room by scanning a QR poster on the wall, so the room's work logs itself while we work. Wellness check-ins run on the athletes' own phones. Our WBGT and lightning feed shows up right on the dashboard next to the roster it affects. No hardware to buy, nothing to install on the sideline.

What runs on it every day.

The athletic training room: evals, treatments, rehab, referrals, and concussion protocols, documented as they happen. The Friday taping list for away games prints itself. The insurance paperwork pre-fills from the injury record.

The weight room: percentage-based blocks with each athlete's actual bar weights, printable rack cards, and testing days that become leaderboards instead of clipboards.

The connection between them: when I mark an athlete limited, the program view knows before his next lift. When sleep dips and workload spikes on the same kid in the same week, I see the flag before practice, not after the injury.

The front office: the season report my Athletic Director used to wait a weekend for is now one click, de-identified, and board-ready.

The honest part.

I'm not a neutral reviewer; I built the thing. So judge it the way I'd tell a fellow Athletic Trainer to judge it: it survives daily use at a program with 800+ athletes, dozens of teams, and a training room that never slows down. It was shaped by twenty years of Friday nights, not by a product roadmap meeting. And if it ever slowed my staff down on a game day, I'd be the first person it annoyed.
